Core duties and responsibilities include the following. Other duties may be assigned.

  • Supports and encourages others to support the Mission, Core, Values and Goals of Health Choice Network.

  • Holds and ensures the confidentiality of all company business and material handled by the COO and the team.

  • Coordinates and prepares materials and meeting minutes for assigned HCN Board Meetings, Annual Conference and Board Committee.

  • Serves as a resource to Leadership team.

  • Maintains web page and Intranet (OurNet) content management is current.

  • Interacts with Center Executive Assistants and updates participant and contact lists.

  • Assists administratively with the Agency Board Meetings, Annual Conference, and other special events.

  • Coordinates food and beverage, audio visual needs and other services for meetings not assigned to Event Team.       

  • Effectively anticipates and flawlessly coordinates the administrative needs, including proactive reminders, for the COO and assigned executives and committees.

  • May serve as the liaison for and represent the COO in key meetings and serve as committee member for key community Board meetings and provides necessary support as approved.

  • Schedules meetings, appointments, conference calls, luncheons, and complex, detailed travel arrangements in a cost effective and timely manner.  Has frequent contact with political and social leaders at community, state and federal level.

  • Screens incoming calls, visitors, answers inquiries and conducts research and responds to requests for information independently.

  • Prepares correspondence, minutes, reports, marketing materials, grant-related information, presentation materials, spreadsheets, customized reports, and related documents in accordance with departmental standards.

  • Assists in the preparation of reports and assists in gathering all IT-related grant information in compliance with all federal reporting requirements.

  • Assists in the scheduling and planning of the annual budget process and tracks financial reporting requirements and budget calendars.

  • Completes the timely creation of expense reports relevant to the purpose of travel and other reimbursable items.

  • Independently coordinates diverse projects to completion and tracks all projects and related events.

  • Suggests policies, procedures, goals and action plans to improve the effectiveness and efficiency of areas assigned.

  • Communicates accurately and professionally via telephone and in person with visitors and staff.

  • Responds to member center issues, researches, and resolves or refers to appropriate personnel in a timely and professional manner.

  • Handles the member center invoice reconciliation and payment preparation.

  • Prepares and handles all travel and expense reimbursement processes.

  • Responsible for the Telecommunication setup and reimbursement process.

  • Other duties may be assigned.


  • Graduate of an accredited college or university with at least a Bachelor’s degree in  Business Administration, Public Administration, Communications or related field, and a minimum of three (3) years experience in an administrative position with event planning; or equivalent combination of education and experience.

  • Proven experience coordinating complex events.

  • Advanced proficiency of Windows and Microsoft Office applications including Word, Excel, PowerPoint, Visio, and Outlook.

  • Proficiency in SharePoint, Publisher and Photoshop are preferred.

  • Must be able to type at least 45 wpm.

  • Preferred qualifications: IT, non-profit, health care industry experience, customer service certifications, and membership of organizations or associations directly related to the Health Care industry.
